1. Introduction

This policy specifically outlines how the Pharmacy Halo Mobile Application (“the App”) accesses and uses data from your mobile device. This disclosure is provided in accordance with Australian Privacy Principles and mobile platform requirements (Google Play and Apple App Store).

Pharmacy Halo is a professional logistics and “last-mile” delivery application used by pharmacy staff and couriers for the secure delivery of medications from pharmacies to patients.

2. Sensitive Device Permissions

2.1 Camera Access

The App requests access to your device’s camera to facilitate Proof of Delivery (POD).

Purpose: Capturing recipient signatures, delivery conditions, or photos of the delivery location (e.g., “left in a safe place”).

Data Use: Photos are uploaded to Pharmacy Halo systems and associated with the specific delivery record for dispute resolution, audit trails, and service improvement.

Legal Status: Proof of Delivery photos are treated as medical-legal records and are retained in accordance with pharmacy record-keeping obligations under Australian law. These records may be used for dispute resolution, regulatory audits, and Chain of Custody verification.

Limitation: We do not access your photo gallery or use the camera for any purpose other than active delivery documentation.

User Control: You may deny camera access; however, features requiring Proof of Delivery photos will be disabled.

2.2 Location Data (Precise and Background)

The App collects precise location data to support logistics, safety, and regulatory compliance.

Live Tracking: While on an active route, we collect location data to show route progress to the pharmacy and, where applicable, provide “Estimated Time of Arrival” (ETA) visibility to the customer.

Background Collection: Pharmacy Halo is required to maintain a verifiable Chain of Custody for prescription medications under Australian pharmacy regulations. To meet this obligation, the App collects location data in the background (when the app is closed or not in use) only while a delivery route is actively “In Progress.”

This allows pharmacies to:

  • Track the medication’s location in real time
  • Provide accurate ETAs to patients
  • Verify delivery completion at the correct address

Background tracking ceases entirely once a route is marked as “Completed” or the driver logs out.

What is an “Active Delivery Session”?
An active delivery session begins when you accept a delivery route and ends when you mark the route as “Completed” or log out of the App. Location tracking is only active during this period.

Geotagging: We attach your location coordinates to Proof of Delivery submissions to verify the delivery was completed at the correct address.

No Marketing or Third-Party Use: Location data collected by this App is used solely for delivery logistics and Chain of Custody compliance. We do not use location data for marketing purposes, and we do not sell or share location data with third parties for advertising or commercial purposes.

User Control: You can revoke location permissions at any time via your device settings, though this will prevent route tracking and may interfere with delivery verification.

2.3 Push Notifications

The App requests permission to send real-time alerts.

Purpose: Notifying you of new delivery assignments, changes to existing routes, or incoming messages via HaloText and driver chat.

User Control: Notifications can be disabled in device settings at any time. The App remains functional, but you may miss time-sensitive updates regarding your deliveries.

3. Data Security and Retention

All data collected via device permissions (photos, GPS coordinates, and message logs) is encrypted in transit and stored securely on our Australian-based servers.

Retention Periods:

  • Location data: Retained for 3 years from delivery completion for audit and dispute resolution purposes
  • Proof of Delivery photos: Retained for 3 years in accordance with pharmacy record-keeping requirements
  • Push notification logs: Retained for 3 years for operational purposes

Data is retained in accordance with our general Privacy Policy for the purposes of pharmacy record-keeping and legal compliance.

  • Access the personal information we hold about you
  • Request correction of inaccurate information
